Employment Opportunity – Administrative Assistant Community Services

Town of Sussex, New Brunswick

The Town of Sussex is seeking a motivated and detail-oriented Administrative Assistant to provide administrative and clerical support to the Community Services Department. This full time position plays a key role in supporting municipal programs, events, and day-to-day departmental operations while serving as an important point of contact with staff, vendors, and the public.

Key Responsibilities

  • Provide confidential administrative and clerical support to the Community Services Department
  • Assist with the planning, coordination, and delivery of municipal programs and community events
  • Respond to public inquiries related to recreation programs, facilities, and events
  • Log service requests and generate work orders using the Town’s asset management system
  • Assist with facility scheduling and event bookings
  • Prepare correspondence, reports, agendas, and meeting minutes
  • Maintain digital and physical filing systems
  • Assist with purchasing, invoicing, rebates, and procurement-related tasks
  • Support promotional efforts and maintain information on electronic community boards
  • Perform other related duties as assigned

Qualifications

  • Post-secondary education in Recreation, Business, Office Administration, or a related field
  • Minimum two (2) years of administrative experience, preferably in a municipal or recreation environment
  • Strong organizational, time-management, and communication skills
  • Proficiency with Microsoft Office (Word, Excel, Outlook)
  • Experience maintaining electronic filing systems; familiarity with asset management systems is an asset
  • Ability to work independently, manage priorities, and maintain confidentiality
  • Valid driver’s licence
